Miniature horse Association of Nova Scotia By-laws

Membership

The shall be admitted to membership in the Society:

  • any individual residing in Nova Scotia who upholds the objectives of the Society and contributes to the support of the Society in an amount to be determined at the General Meeting.
  • any individual residing in any other province in Canada, to a maximum membership of 25% of the total membership of the Society, who upholds the objectives of the Society and contributes to the support of the Society an amount to be determined at the General Meeting.


Category of Membership

  • Individual Membership - The membership fee will be determined at the Annual General Meeting.
  • Family Membership - Will include all immediate members of the family (ie: wife, husband and children under the age of 19).  The membership fee will be determined at the Annual General  Meeting.

Every member of the Society shall be entitled to attend any meeting of the Society and to hold any office of the Society.  Those members who are 13 years of age and older will be able to vote at any meeting of the Society in person or by proxy vote.  All proxy votes shall be given in writing at the time of the vote.


Membership in the Society is a privilege and may be terminated or rejected by resolution of 3/4 majority vote of the general membership for cause detrimental to the interests of the Society, its programs, policies, objectives and harmonious relationships of its members.


A member ceases to be a member when the annual dues are 30 days in arrears.

Fiscal Year

The fiscal year of the Society shall be the period of December 1 to November 30.


Rules of Order

Roberts Rules of Order shall be the guide for conducting all meetings of the Society, subject to guidelines adopted by the Society.

  1. The ordinary or annual general meeting of the Society shall be held within 30 days of each fiscal year end of the Society.
  2. An extraordinary general meeting of the Society may be called by the Chairperson or by the directors if requisitioned in writing by at least 25% in number of the members of the Society.

AGM Agenda

At each annual general meeting of the Society, the following items of business shall be dealt  with and shall be deemed to be ordinary business:

  • Minutes of the preceding Annual General Meeting
  • Consideration of the financial statements, including balance sheet and operating statement and the report of the auditors thereon
  • Election of directors and officers for the ensuing year
  • Appointment of auditors


*All other business transacted at an AGM shall  be deemed to be special business and all business shall be deemed special that is transacted at an extraordinary general meeting of the society.


Regular Meeting Agenda

Regular meetings shall be held every two months or as required.  The order of business of the Society shall be as follows:

  • Call to Order
  • Reading of the Minutes
  • Correspondence and Treasurers Reports
  • Reports of Standing Committees
  • Reports of Special Committees
  • Unfinished Business
  • New Business
  • Adjournment


No business shall be transacted at any meeting of the Society unless a quorum of members is present at the commencement of such business and such quorum shall consist of 20% of the total voting membership.


If within 1/2 hour from the time appointed for the meeting, a quorum of members is not present, the meeting shall be dissolved.


Having a big sale, on-site celebrity, or other event? Be sure to announce it so everybody knows and gets excited about it.

Voting

  Those members who are 13 years of age and older will be able to vote at any meeting of the Society in person or by proxy vote.  All proxy votes shall be given in writing at the time of the vote. 


The Chairperson (President) shall have no vote except, in the case of equality of votes.  In the case of an equality of votes the Chairperson (President) shall have a casting vote.
